AI automation agency for businesses across the US
Talos Automation AI builds AI receptionists and back-office automation for small and mid-sized businesses in every state, then runs them for you. Setup, training and support are remote, from our headquarters in Houston.
The short answer
Talos Automation AI is an AI automation agency headquartered in Houston, Texas, that works with businesses anywhere in the United States. We build AI voice agents, CRM automation, workflow automation, lead follow-up, document processing and customer onboarding on the tools you already use, and we keep running and tuning them after launch. Discovery, setup, training and support all happen remotely, so no site visit is needed. The first step is a free 30-minute consultation.
What we build
The same six systems, wherever you are
Every engagement is built from six focused systems. Most businesses start with one, usually the phones, and add the next once the first is paying for itself.
AI Voice Agents
24/7 conversational voice AI that answers calls, qualifies leads, and books appointments.
02CRM Automation
Automate lead capture, pipeline updates, follow-ups, and reporting across HubSpot, Salesforce, GHL, and more.
03Workflow Automation
End-to-end automation that connects email, calendar, billing, and ops into one intelligent pipeline.
04AI Document Processing
Extract, route, and act on data from contracts, invoices, intake forms, and PDFs — automatically.
05Lead Follow-Up Automation
Respond to every inbound lead in under 60 seconds with personalized AI follow-up sequences.
06Customer Onboarding Automation
Streamline new-client onboarding with automated intake, document collection, and welcome sequences.
If you want new business phones as well, Talos Connect puts phone lines, two-way texting, reminders, reviews, text-to-pay and an AI receptionist that answers in English, Spanish and Vietnamese in one app. Seats start at $19.95 per user a month, and the AI receptionist is $149 a month with 500 minutes included. We port your existing numbers and set it up for you, the same way in Ohio as in Houston. Explore Talos Connect
How it works
How remote setup, training and support work
01
Discovery call
A 30-minute video call to map your calls, leads and manual work, and to find the two or three automations with the biggest payoff. You get a straight answer on what is worth automating and what is not.
02
Systems map and quote
Over screen share we walk through your phone system, CRM, calendar and billing tools and confirm what connects before you commit. You get a fixed build fee per system and a flat monthly rate.
03
Build and test
We build the conversation flows and automations on your existing stack. You test them against real scenarios from your business while we tune how calls are handled and how the AI sounds.
04
Launch and training
We forward or port your number, switch the automations on, and train your team over live video, so everyone knows what the AI handles and when it hands a call to a person.
05
Monthly tuning
Monitoring, model updates and monthly optimization are included. When something needs a person, you reach one on our Houston team by phone or email.
Most single-system installs go live in two to three weeks. A full six-system build typically runs about five weeks from discovery to launch.
Time zones
Working across time zones
Our team works Central Time, Monday through Friday, 9 a.m. to 5 p.m. That is 10 a.m. to 6 p.m. on the East Coast, 8 a.m. to 4 p.m. in Mountain Time and 7 a.m. to 3 p.m. on the Pacific coast, so every business in the continental US shares a full working window with us every weekday.
Your AI receptionist does not keep our hours. It answers around the clock in your business's name, and its booking windows, after-hours rules and on-call routing are built around your local business hours, not ours. Calls it cannot handle transfer to a person you designate, with a live summary of the conversation so far.
Kickoffs, training and monthly reviews are scheduled in your time zone, and we can record training sessions so a team member on a different shift can catch up later.
Who we work with
Built for every kind of business
The details change by industry; the pattern does not. Every business on this list runs on calls, leads, scheduling, paperwork and follow-up, and those are the processes we automate.
Home services
HVAC, plumbing, roofing and electrical companies that lose the job when a call goes to voicemail while every tech is out.
Restaurants and hospitality
Restaurants, hotels, salons and venues answering reservation, hours and directions questions all day and into the night.
Law firms
Solo and small firms where intake is the business: the caller who reaches someone first usually hires that firm.
Real estate and property management
Agents who need every lead answered while they are in a showing, and managers fielding tenant calls at 2 a.m.
Accounting and CPA firms
Firms chasing client documents by hand every tax season.
Insurance agencies
Independent agencies juggling renewals, certificates and new-business calls.
Auto dealerships
Internet leads that go cold while salespeople are with customers on the floor.
Fitness and wellness
Studios and gyms losing class revenue to no-shows and trial members nobody follows up with.
Marketing agencies
Agencies that want to deliver more for clients without hiring for reporting and onboarding busywork.
Medical, dental and veterinary practices
Practices that need scheduling, reminders and after-hours coverage handled with care.
State rules
Call recording and state rules: a short note
An AI receptionist records and transcribes calls, and recording rules are set state by state. Federal law and most states allow a call to be recorded when one person on the call consents. A group of states, including California, Florida, Illinois, Maryland, Massachusetts, Pennsylvania and Washington, generally require everyone on the call to consent. When a caller and your business are in different states, the safest approach is usually to follow the stricter rule.
The practical answer is disclosure. We can put a short recording notice in the AI receptionist's greeting, so every caller hears it before the conversation starts, and we can word it to say that the caller is speaking with an AI assistant.
Outbound calls and texts have their own rules. The federal Telephone Consumer Protection Act (TCPA) requires the right kind of consent before automated or prerecorded calls and texts, and the FCC has said that AI-generated voices count as artificial voices under that law. Some states, such as Florida and Oklahoma, add telemarketing rules of their own. Healthcare clients also sign a Business Associate Agreement with us before any patient data flows through a Talos system.
This is general information, not legal advice. Rules change, and your attorney is the right person to confirm what applies to your business and your callers.
Local or remote
How this compares with hiring a local agency
A local agency can be the right call. If you want in-person workshops, someone on site to install hardware, or a partner you can meet for lunch, proximity matters. For most automation work, though, the job happens inside your phone system, CRM and calendar, and all of that is reached over the internet. Remote is how this work is normally done, whoever does it. These are the questions worth asking any agency, near or far, and how we answer them.
| Ask any agency | How Talos answers |
|---|---|
| Who runs the system after launch? | We do. Monitoring, model updates and monthly tuning are included in the flat monthly rate. |
| Will it work with the tools we already use? | Custom builds wire into the phone system, CRM and calendar you already run. We only recommend a tool swap when something genuinely blocks automation. |
| Who actually builds it? | A Houston IT team with 25 years of keeping local businesses online through Texas Management Group, founded by Scott McAuley, a U.S. Marine Corps veteran. |
| How is it priced? | A fixed build fee per system, then a flat monthly rate, quoted on your strategy call before any commitment. Talos Connect has published prices. |
| What happens to calls the AI can't handle? | They transfer to a person you designate, with a live summary of the conversation so far. Nothing gets stranded with a robot. |
| What would a site visit add? | For phones, CRM and workflow automation, usually nothing. Discovery, setup, number porting, training and support are all done remotely. |
The honest test is the same for any agency, local or not: ask who maintains the system after launch, ask to hear it handle a real call, and ask what it costs each month once it is live.

FAQ
Questions about working with us remotely
- Do you work with businesses outside Texas?
- Yes. Talos works with businesses anywhere in the United States. We are headquartered in Houston, and discovery, setup, training and support are all done remotely, so where you are located doesn't change how the work runs.
- Do you need to visit our office to set things up?
- No. Discovery happens on a video call, systems are connected over the internet, numbers are ported or forwarded remotely, and training runs over live video. Nothing we build requires someone on site.
- What hours does your team work?
- Our team works Central Time, Monday through Friday, 9 a.m. to 5 p.m., which overlaps the working day everywhere in the continental US. The AI receptionist itself answers 24/7, following your local business hours and rules.
- How long does setup take?
- Most single-system installs go live in two to three weeks. A full six-system build typically runs about five weeks from discovery to launch.
- How is it priced?
- Custom automation is a fixed build fee per system, then a flat monthly rate for hosting, monitoring and tuning, quoted on your strategy call before any commitment. Talos Connect has published prices: seats start at $19.95 per user a month, and the AI receptionist is $149 a month with 500 minutes included.
- Can we keep our phone numbers?
- Yes. Custom builds work with the phone system you already run. If you move to Talos Connect for new business phones, we port your existing numbers.
- Which languages does the AI receptionist speak?
- English, Spanish and Vietnamese, day or night.
- Is it legal to record calls in my state?
- Most states allow recording with one person's consent, but several, including California, Florida, Illinois and Pennsylvania, generally require everyone on the call to agree. A short recording notice in the AI's greeting is the usual way businesses handle this. This is general information, not legal advice, so confirm with your attorney.
- Do you work with healthcare practices outside Texas?
- Yes. Medical and dental clients anywhere in the US sign a Business Associate Agreement with us before any patient data flows through a Talos system. Direct EHR and practice-management integrations are on our roadmap.
